Office Coordinator (Part-time)

The Children’s Museum has an opening for an Office Coordinator. This position will provide administrative support and fulfill customer service duties, including answering and/or appropriately routing guest phone and email inquiries, managing equipment contracts and office supply orders, and work with multiple Departments on the Museum’s internal and external reservations systems, ensuring organizational resources are used efficiently and that the office environment operates smoothly. 

Hours: 25 hours per week, Tuesday-Saturday from 8am-1pm 

Rate: $21.00-$22.50/ hour

  • Greet guests entering Museum third floor office area 
  • Maintain current knowledge of all programming, special events and exhibits 
  • Answer and direct incoming phone calls and emails 
  • Work with multiple departments to coordinate and manage shared resources (rooms, staff, equipment, etc.) needed for events, programs, meetings and facility rentals 
  • Oversee office-related service contracts (phone system, printers/copiers, etc.) 
  • Update Museum phone tree system and phone extension list 
  • Coordinate and maintain office supply orders and inventory 
  • Oversee presentation of Board Room and other 3rd floor meeting spaces as well as the staff break room 
  • Process outgoing and incoming organizational mail 
  • Work with the Finance Department on daily deposits 
  • Other duties as assigned 


  • Strong commitment to the Museum’s mission, vision and values of diversity, equity, access and inclusion 
  • Ability to communicate with guests and co-workers in direct, respectful and confident manner 
  • Ability to work effectively and accurately in a fast-paced office environment while maintaining excellent guest service 
  • Strong organizational and time management skills 
  • Must be proficient in Microsoft Office Suite  
  • Neat and professional appearance 
  • Bilingual proficiency in Spanish required 
  • High school diploma or equivalent required 
  • Database experience preferred 
  • 2 years’ experience in an administrative/office coordinator role preferred 

Physical Demands 

  • Must be able to remain in a stationary position for extended periods of time (up to 5 hours) 
  • Effectively operate a two-way radio to frequently communicate and exchange information with staff 
  • Frequently position self to maintain stock, including various heights of storage cabinets and shelving units  
  • Operate a computer and other office equipment 
  • Frequently communicate with staff or guests with daily inquiries and must be able to exchange accurate information in these situations
